FOR THE 2023/2024 ACADEMIC YEAR

2023/24 UWAS ELECTION GUIDELINES

Please read carefully before submitting your nomination and/or participating in the elections process.

 

ELECTION GUIDELINES

Nominees may run for up to two positions, President, and/or one executive position and/or one representative position. Nominees may not run for three positions. Nominees may not run for two executive positions, or two representative positions. Nominations for executive and representative positions can be made from any aviation student (Science and Aviation, Geography and Aviation, or Aviation Specialization - GEM).  Candidates with three nomination submissions will have their President nomination rescinded from the election.

 

The successful candidate will be the one with the most votes.  In the case of a candidate winning two positions, the candidate will choose their preferred position (after being contacted by UWAS) and a run-off election for the remaining candidates of the other position will be conducted. In the case of a tie, a re-vote will take place until the tie is broken. 

WHO CAN PARTICIPATE

All current UW Aviation Students, including those in final year that have not yet convocated, but excluding incoming first-year students that have not begun lectures yet can participate in this election. Of those able to participate, only students that are going to be enrolled in full-time studies at UW during the 2023/2024 academic year may run for a position.

ELECTIONS TIMELINE || Elections for Executive, Year Representative, and Program Representative positions

  • Nominations Open - Monday, March 27, 2023

  • Nominations Close - Wednesday, Apr 5, 2023

  • Campaign Begins - Friday, April 7, 2023

  • Voting opens - Monday, April 10, 2023

  • Voting closes - Monday, April 17, 2023

  • Results Announced: At the Aviation Gala on April 29, 2023

*First-year representative and council coordinator positions will open in the Spring to Fall term of 2023.

UWAS POSITION DESCRIPTIONS

Please read descriptions carefully before submitting your nomination.

 

EXECUTIVE POSITIONS

ALL POSITIONS ARE A ONE-YEAR OFFICE TERM (MAY 2023 - APRIL 2024)

President (10-15 Hours of Commitment Per Week)

*Only eligible to students who have served at least one term within an elected or appointed UWAS position.

The President ensures that:

 

  • The club operates according to the guidelines of its constitution, and some agreed-upon guidelines for running a meeting, such as Robert’s Rules of Order;

  • The club works towards its objectives as agreed upon by the membership;

  • The executive team is fulfilling the roles, as detailed;

  • Each executive is assigned tasks and meets deadlines to complete the tasks, as required;

  • Operational procedures and policies are instituted, as needed, to help achieve the society’s goals;

  • The representation committee is functioning, the associated representative positions are filled, and concerns brought forward by the committee are addressed;

  • The council offered by those in advisory roles is understood and acted upon, as required.

  • New temporary support positions are created and filled to maintain and run club activities and initiatives, as necessary:

    • The President may create or remove these roles (including, but not limited to: Website Designer, Social Media Coordinator, Merchandise Coordinator, etc.) and appoint a group member to fulfill the role, as necessary; and

  • The next President is trained.

 

VP Finance and Admin (5-10 Hours of Commitment Per Week)

The Vice-President, Finance and Administration (VP Finance & Admin) ensures that:

 

  • The club’s Feds bank account and all financial transactions for the club are monitored and verified;

  • All club revenues are collected, deposited into the club’s Feds bank account, and reconciled correctly and within a timely manner;

  • A suitable annual budget is created and presented to the executives and revised throughout year, as necessary;

  • Club cheque requests are submitted correctly and in a timely manner;

  • Meeting minutes are recorded by the VP Finance & Admin, or delegate, and made available to all voting members;

  • Records of what the group has done are maintained, distributed, and are accessible to all the members;

  • All club correspondence is monitored and brought to the attention of the appropriate person(s);

  • The duties of the President are undertaken in his/her absence; and

  • The next VP Finance & Admin is trained.

 

VP Marketing (5-10 Hours of Commitment Per Week)

*VP Marketing candidates must submit two sample designs within the candidate nomination portfolio. One sample shall include a poster satisfying the criteria on the nomination form. The second sample may be any design or visual representation of your work of your choice. 

The Vice-President, Marketing (VP Marketing) ensures that:

 

  • A website is created, maintained, and updated regularly with pertinent news and content, as necessary;

  • Social media channels are created, maintained and updated regularly with pertinent news and content, as necessary;

  • All other marketing initiatives are organized and undertaken, as required; 

  • The next VP Marketing is trained.

 

VP Outreach (5-10 Hours of Commitment Per Week)

The Vice-President, Outreach (VP Outreach) ensures that:

 

  • Outreach initiatives to other aviation organizations are completed in coordination with the President;

  • Sponsorship initiatives are completed in coordination with the VP Finance & Admin and the President;

  • Outreach to alumni involved in the aviation industry; and

  • The next VP Outreach is trained.

 

VP Events (5-10 Hours of Commitment Per Week)

The Vice-President, Events (VP Events) ensures that:

 

  • The Aviation Society’s Networking and Social events are effectively run throughout the year;

  • Ideas and proposals for new events are considered;

  • Budgeting for events is coordinated with the VP Finance & Admin and the President; and

  • The next VP Events is trained.

 

 

REPRESENTATIVE POSITIONS

ALL POSITIONS ARE A ONE-YEAR OFFICE TERM (MAY 2023 - APRIL 2024)

Second-Year Representative (3-5 Hours of Commitment Per Week)

Only students from second year may run and vote for this position.

The Second Year Representative ensures that:

  • The views, opinions, and concerns of the students in their year are represented and brought forward to the Aviation Society;

  • They provide assistance to the executive members with society initiatives, as necessary; 

  • As part of the Representation Committee, they report to the President; and

  • The next representative for their respective year are trained. 

Third Year Representative (3-5 Hours of Commitment Per Week)

Only students from third year may run and vote for this position.

The Third Year Representative ensures that:

  • The views, opinions, and concerns of the students in their year are represented and brought forward to the Aviation Society;

  • They provide assistance to the executive members with society initiatives, as necessary; 

  • As part of the Representation Committee, they report to the President; and

  • The next representative for their respective year are trained. 

Fourth Year Representative (3-5 Hours of Commitment Per Week)

Only students from fourth year may run and vote for this position.

The Forth Year Representative ensures that:

  • The views, opinions, and concerns of the students in their year are represented and brought forward to the Aviation Society;

  • They provide assistance to the executive members with society initiatives, as necessary; 

  • As part of the Representation Committee, they report to the President; and

  • The next representative for their respective year are trained. 

Aviation Specialization Representative (3-5 Hours of Commitment Per Week)

Only students in Aviation Specialization (Geography and Environmental Management) students may run and vote for this position.

The Aviation Specialization Representative ensures that:

  • The views, opinions, and concerns of the students in the Aviation Specialization program are represented and brought forward to the Aviation Society;

  • They represent the Society at the Environment Students' Society meeting (alongside the Geography Representative), as required;

  • They provide assistance to the executive members with society initiatives, as necessary; 

  • As part of the Representation Committee, they report to the President; and

  • The next Aviation Specialization Representative is trained. 

Geography Representative (3-5 Hours of Commitment Per Week)

Only students in Geography and Aviation may run and vote for this position.

The Geography Representative ensures that:

  • The views, opinions, and concerns of the students in the Geography and Aviation program are represented and brought forward to the Aviation Society;

  • They represent the Society at the Environment Students' Society meeting, as required;

  • They provide assistance to the executive members with society initiatives, as necessary; 

  • As part of the Representation Committee, they report to the President; and

  • The next Geography Representative is trained. 

Science Representative (3-5 Hours of Commitment Per Week)

Only students in Science and Aviation may run and vote for this position.

The Science Representative ensures that:

  • The views, opinions, and concerns of the students in the Science and Aviation program are represented and brought forward to the Aviation Society;

  • They represent the Society at the Science Society meeting, as required;

  • They provide assistance to the executive members with society initiatives, as necessary; 

  • As part of the Representation Committee, they report to the President; and

  • The next Science Representative is trained. 

QUESTIONS AND CONCERNS

The elections will be run by the current executive(s) (2022/2023 academic year) that are graduating (i.e. unable to run in the election). If you have any concerns, or you wish to modify, or withdraw your nomination, please email info@uwaviation.com.
